Export packing list template

An export packing list shows what is in each package. It is more detailed than a domestic packing slip. Forwarders use it to book space and prepare the bill of lading, and customs may use it to check the cargo. It does not replace the commercial invoice, so the two should match.

What to include

  • Seller, buyer and shipper names and addresses.
  • Invoice number and shipment date, so the list can be matched to the commercial invoice.
  • Transport mode and carrier, if known.
  • Package-by-package detail: package number or range (for example, cartons 1–12), package type (carton, pallet, crate), contents and quantity in each.
  • Net and gross weight per package and in total. Many buyers and forwarders expect kilograms; show pounds as well if your team works in them.
  • Dimensions of each package (length × width × height) and the total volume.
  • Marks and numbers that match the shipping marks on the cartons.

Common mistakes

  • Gross weight lower than net weight. Gross weight includes packaging, so it must be higher.
  • Package count that differs from the invoice or the bill of lading.
  • Carton ranges that skip or overlap, such as cartons 1–10 and 10–20.
  • Mixed units. A list that switches between pounds and kilograms, or inches and centimeters, without saying so.
  • Marks on the cartons that do not match the marks on the list.

Weights and volume add up automatically

In Packlistly you enter each item and how it is packed once. Package totals, net and gross weight and volume are calculated from those entries, and the same numbers appear on the commercial invoice, carton labels and shipping marks. Packlistly flags quantity and weight differences for you to review before you download. The Free plan includes 5 shipments a month.

FAQ

What is the difference between a packing list and a packing slip?
A packing slip usually travels inside a domestic parcel. An export packing list is a shipping document with weights, dimensions and marks for every package.
Does the packing list need prices?
Usually not. Prices belong on the commercial invoice. Some buyers ask for them; follow your buyer's instructions.
